How It Works

Initial Consultation

We discuss your needs, review your current process, and determine how I can best support your transactions.

Contract to Close

Once a deal goes under contract, I take over all administrative tasks, keeping you updated throughout the process.

I ensure all documents are ready, deadlines are met, and the closing proceeds smoothly without any last-minute surprises.

*If a transaction goes to mutual release, you only pay $75

Payments

Payment Details

My fee is $300 per closing transaction and $75 for non-closures.

Payments are to be made as a deposit into my US bank account or via PayPal within 7 days after closing or after an executed MR has been added to the loop.

💡 Pro Tip

You can add an admin fee to your contracts so your clients pay for the service, not you (payments to me are also a tax write-off). Some agents add a little extra to counter non-closure payments - and the TC amount added to the contract doesn't change my fees. Just check with your brokerage to ensure company compliance.

After we're all set up to work together, adding me to your team is easy.

Getting Started

All you need to do is add me as your Transaction Coordinator to a loop on Dotloop - or send me an email if you're working with another system. That's Oscar Brimelow and oscar@askosc.com.

Once I'm involved with a contract, I will:

  • "Clean" the file - providing complete titles to each document, so you can see what they are and the current status at a glance.
  • Send coordination emails linking Co-Broke, Title/Escrow and Lenders with all necessary documents and contact details. An email is also sent to your client to outline the next steps and to ensure they have all their documents.
  • Create and send your escrow letter to Title/Escrow.
  • Should you require additional addenda or want me to create the ROC, I can do this, with your instructions on what to include.
  • Upload all necessary documents and commission instruction to your brokerage's compliance system.
  • In the case of a non-closure, I will continue chasing the MR, and send it to the relevant parties before setting the file aside.

You will always be cc'ed on all correspondence unless otherwise requested.

What I Need to Begin Working

Brokerage Documents

I'll need your brokerage's forms. You can email them to me, or I can login to your Dotloop and grab them myself.

Login Details

  • Brokerage Compliance System (required) - to log your paperwork and commissions.
  • Home Warranty Program Login (optional) - if you actively promote home warranties.
  • Dotloop (optional) - if you want me to add myself to Loops (and, grab forms on your behalf).
  • Working with Docusign? I'll need your login details - and we'll need to coordinate my first login as a code will be sent to your email for a login from a new location.

As the industry changes and your brokerage along with it, additional logins may be required to get the job done.

Preferred Contacts

  • Have preferred Title/Escrow agents within a firm? Send their details and I'll automatically connect with them when the PA names their company.
  • Want help coordinating inspections? Provide your inspectors list and I'll work with your buyers and the listing side to get everything set up.

Working Hours

I'm originally from Cleveland but currently based in South Africa, which puts me 6-7 hours ahead of Cleveland time. This means I'm often working on your files while you're sleeping, getting things done overnight so you wake up to progress.

I monitor emails until around 5pm Cleveland time and jump on any urgent issues that come up during your business day.

Email is my preferred method, but I keep a US cellphone for urgent texts, inspector coordination, and calling city building departments when needed.
